Cancellation & Fee Policies 

Cancellation Policy

  • Appointments must be canceled or rescheduled with a minimum of 24 hours’ notice.

  • Failure to provide a 24-hour notice may result in a cancellation fee. If two consecutive appointments or three total appointments are canceled without proper notice, the client will be required to pay in full at the time of booking for all future services, including payment of any outstanding cancellation or no-show fees.

No-Show Policy

  • A “no-show” is defined as failure to attend a scheduled appointment without prior cancellation. No-shows will be charged a fee equal to 100% of the reserved service amount.

  • If two consecutive appointments or three total appointments result in no-shows, the client will be required to pay in full at the time of booking for all future services, including payment of any outstanding fees.

 

Payment & Reservation Requirements

  • Black Orchid Salon reserves the right, at its sole discretion, to require a valid credit/debit card, Black Orchid Salon gift card, or full prepayment to secure any appointment. Black Orchid Salon also reserves the right to refuse service at its discretion.

 

Appointment Confirmation & Reminders​​

  • Appointments must be confirmed at least 24 hours prior to the scheduled appointment using the confirmation link sent via text or email 1–3 days in advance.

  • To confirm, the client must click the confirmation link once. No further action is required. If the confirmation link does not function, the client is responsible for contacting the salon directly to confirm the appointment.

  • Appointments not confirmed within the required timeframe are subject to automatic cancellation and applicable cancellation fees.

  • Appointment Reminders

  • As a courtesy, appointment reminders may be sent via text or email. While reminders are provided as a convenience, it remains the client’s responsibility to track appointment dates and times, arrive promptly, and maintain accurate contact information on file.

Black Orchid Salon reserves the right to modify, enforce, or waive these policies at its sole discretion. Failure to comply may result in cancellation of appointments, required prepayment, or refusal of future services. By booking or receiving services, clients acknowledge, understand, and agree to all policies stated herein.

Child Safety

To Our Current and Future Guests,

 

This policy is shared with respect and consideration for parents and caregivers. Many members of our team are parents themselves and understand that childcare concerns can be sensitive. Our priority is maintaining a safe environment for all guests, children, and staff.​

Due to the presence of professional tools, chemicals, and equipment, salon environments present inherent safety risks. To minimize those risks and ensure a safe and controlled setting, Black Orchid Salon enforces the following policy:

Children under the age of 12 must be accompanied by a supervising adult who is not receiving services.
Children must remain under direct supervision in designated waiting areas and are not permitted on the styling floor.

This policy is implemented exclusively for safety reasons and to support a secure working environment. Failure to comply with this policy may result in the inability to provide services.

Guests with questions or concerns are encouraged to contact the salon before their appointment.

​

Black Orchid Salon is not responsible or liable for injuries sustained by children while on the premises. By entering the salon or booking services, guests acknowledge and agree to comply with this policy.

Adjustment Policy

Your satisfaction is important to us. We do our very best to ensure we meet or exceed your hair goals but sometimes we miss the mark. Please contact the salon within two weeks of your appointment if you are not fully satisfied. We are happy to schedule one complimentary adjustment.  Adjustments are typically scheduled with the stylist who performed the original service, as they are most familiar with the work completed. If your original stylist is unavailable or you prefer to see another stylist, we will make every reasonable effort to accommodate your request in a timely manner. Requests made after the two-week window may require partial or full payment of the service.

Service Refusal Policy

Black Orchid Salon is committed to providing a safe, welcoming, and respectful environment for all guests and team members.
 

We reserve the right to refuse or discontinue service to anyone whose behavior is deemed inappropriate, disruptive, abusive, or discriminatory, including but not limited to behavior that is racist, homophobic, xenophobic, sexist, harassing, threatening, or otherwise creates an unsafe, hostile, or uncomfortable environment for staff or guests. This includes, but is not limited to, conduct that is discriminatory, harassing, threatening, or disrespectful toward others.

 

These decisions may be made at any time to protect the well-being of our team and guests and may result in the immediate end of services. Refunds will be determined at the salon’s discretion.
